IndieCrew Terms of Partnership

+

Indie Crew is a community of independent professionals. We partner with crew who bring craft, reliability, and respect to every set.

Our Ethos

  • Respect on set — for cast, crew, clients, and locations.
  • Reliability — arrive prepared, on time, and ready to work.
  • Craft first — take pride in your department and support the whole production.
  • Inclusive collaboration — zero tolerance for harassment or discrimination.
  • Confidentiality — protect production information, scripts, and client details.

Terms of Partnership

  • Represent yourself honestly. All credits, skills and licences must be accurate.
  • Communicate promptly on bookings, availability and changes.
  • Honour confirmed bookings; late cancellations may affect future work.
  • Follow the production's safety protocols and the call sheet at all times.
  • Raise concerns through Indie Crew — we support and advocate for our partners.

Financial Planning for Freelancers

+

Freelance income is unpredictable. A simple plan protects you between projects and helps you build long-term stability.

Foundations

  • Separate business and personal bank accounts — every fee lands in the business account first.
  • Build an emergency fund covering 3–6 months of living costs before scaling other goals.
  • Pay yourself a fixed monthly "salary" from the business account to smooth cash flow.

Budgeting each invoice

  • Set aside a percentage for tax the moment you're paid (see Section 3).
  • Allocate to retirement (RA or TFSA), medical cover, and gear replacement.
  • Track every expense — kit, data, travel, wardrobe — for both cash flow and deductions.

Protect your future

  • Income protection and disability cover — your ability to work is your biggest asset.
  • Retirement Annuity (RA) contributions are tax-deductible up to SARS limits.
  • Review your rates yearly against experience, inflation, and market benchmarks.

Understanding Taxation as an Independent Contractor

+

As an independent contractor in South Africa, you are responsible for your own tax affairs with SARS. This is a general guide — always confirm with a registered tax practitioner.

Register correctly

  • Register as a Provisional Taxpayer with SARS via eFiling.
  • Register for VAT once your taxable turnover exceeds R1 million in any 12-month period.
  • Keep an accurate invoice book — sequential numbers, your details, client details, and VAT (if registered).

Provisional tax

  • Two payments per tax year: end of August (IRP6) and end of February.
  • A third top-up payment is due end of September to avoid interest.
  • Set aside 25–35% of every invoice for tax so payment dates aren't a shock.

Deductible expenses

  • Camera and department kit, batteries, cards, hard drives, software subscriptions.
  • Travel to set, accommodation on shoots, data, phone, and internet (portion used for work).
  • Home office (dedicated space), accounting fees, training, and industry membership fees.

Keep all receipts and logbooks for at least 5 years.

Managing Mental Health

+

Long hours, uncertain income, and intense on-set pressure are real. Looking after your mental health is part of the job — for yourself and the crew around you.

Daily habits

  • Protect sleep between call times — even short, consistent rest matters.
  • Hydrate, eat properly on set, and move your body when you can.
  • Set clear boundaries between shoot days and downtime; guard your recovery time.

On set

  • Look out for your crew — check in, share the load, call out unsafe conditions.
  • If something goes wrong on set, speak to the Set Medic, Mental Health First Aider, or a HOD you trust.
  • Report harassment or bullying — Indie Crew will support you.

Support lines (South Africa)

  • SADAG Mental Health Line — 011 234 4837 (24/7)
  • SADAG Suicide Crisis Line — 0800 567 567
  • Lifeline South Africa — 0861 322 322
  • Emergency (SAPS/Ambulance) — 10111 / 10177

+

If you're earning as an independent contractor, you need to be registered with SARS. Here's a quick starter guide — always confirm your specific situation with a registered tax practitioner.

Who needs to register

  • Anyone earning income that isn't taxed at source (i.e. no PAYE deducted by an employer).
  • Freelancers and independent contractors invoicing productions directly.
  • Sole proprietors and small business owners in the film and content industry.

  • Valid South African ID or passport.
  • Proof of address (not older than 3 months).

How to register

  • Register for a personal income tax number via SARS eFiling at www.sarsefiling.co.za, or use the SARS MobiApp.
  • Activate Provisional Tax on your eFiling profile — this is required for freelance income.
  • Register for VAT only once your taxable turnover exceeds R1 million in any 12-month period.
  • Keep your details (address, banking, contact) updated on eFiling to avoid delays and penalties.
